Key takeaways
- Apply to change the principal place of business in your GST registration within 15 days of moving, using Form REG-14.
- Moving to another state is not an amendment: you need a new GST registration in the new state.
- Udyam, shop and establishment registration, trade licence, FSSAI, IEC and your bank all need updating too.
- Since 2021, an FSSAI licence or registration can be modified for a new premises address while keeping the same number.
Moving to a bigger shop, a new office or a warehouse is a good sign for a business. But a proprietorship's address sits in several government records, and each needs updating. Miss one, and you can face GST notices, bank delays or a licence that no longer matches your premises. This guide explains how to change the business address of a proprietorship, registration by registration.
Start with GST
If you are registered under GST, this is the most time-sensitive update.
- Same state: apply to change the principal place of business in Form GST REG-14 on the GST portal within 15 days of the change, with proof of the new premises. The officer must approve it or raise a query within 15 days, and if the officer does not act in that time, the change is treated as approved.
- Additional place of business: if you keep the old place and add a new one, such as a godown, add it as an additional place of business. Under the rules in force from 1 November 2026, this takes effect on filing.
- Another state: GST registration is state-wise. Moving to another state needs a new registration there; the old registration should be cancelled once business in the old state ends.
Our guide on GST registration amendment explains the full process and the officer's timelines.
Documents for the new premises
- Electricity bill, property tax receipt or similar document for the premises
- Rent or lease agreement if rented
- Consent letter from the owner if a relative or someone else owns it, with their ownership proof
Then update everything else
| Record | What to do |
|---|---|
| Udyam registration | Update the address online on the Udyam portal; the Udyam number stays the same |
| Shop and establishment registration | Apply for an amendment, or a new registration where your state requires one, within the time set by your state |
| Municipal trade licence | Trade licences are usually tied to the premises, so you may need a licence from the local body for the new address and to surrender the old one |
| FSSAI licence or registration | Apply for a modification for change of premises address on FoSCoS; the FSSAI number stays the same |
| Importer Exporter Code | Update the address on the DGFT portal |
| Professional tax | Update your enrolment or registration with the state department |
| Bank account | Give the bank proof of the new business address to update its records |
| Payment gateways and marketplaces | Update the business address on each platform, as they cross-check it with GST |
Income tax and PAN
A proprietorship has no separate income tax registration, so there is nothing to amend for the business itself. Your PAN is personal: update its address only if your own residential address changes. Use the new business address in your income tax return and on documents going forward.
Do not forget the practical changes
- New address on invoices, letterhead, quotations and your website
- New signboard, with your GSTIN and certificate displayed at the new premises
- Updated address with customers, suppliers and transporters, especially for e-way bills
- Insurance policies for stock and premises moved to the new address
- Your business listing on maps and directories
A simple timeline
- Before moving: sign the rent agreement or get the owner's consent letter, and get a recent bill for the premises.
- Before operating from the new place: apply for the FSSAI modification if you are a food business, and check the trade licence for the new location.
- Within 15 days of moving: file GST REG-14 for the principal place of business.
- In the first month: update Udyam, shop and establishment registration, IEC, professional tax and your bank.
- After approvals: update invoices, signboards and your customers.
Moving to another state?
Treat it as setting up again in the new state: new GST registration, local shop and trade licences under that state's law, and professional tax if that state levies it. Plan the switch-over date so invoices are issued from the correct registration, and close the old state's registrations once operations there stop. See how to cancel GST registration.
Our GST amendments team files the address change with the right documents and handles any officer query.
This article explains the general position as on the date shown. Shop, trade licence and professional tax rules differ by state; check the requirements where you operate.
Frequently asked questions
Do I need approval to change my GST address?
A change in the principal place of business needs the officer's approval. The officer must approve it or raise a query within 15 days; if nothing happens in that time, the change is treated as approved.
Is my GST registration valid if I move to another state?
No. GST registration is state-wise. You need a new registration in the new state and should cancel the old one once your business there ends.
What documents prove the new address?
Usually an electricity bill, property tax receipt or similar document for the premises, plus a rent agreement if it is rented or a consent letter if a relative owns it.
Do I need a new FSSAI licence when I move?
Generally no. Since FSSAI's 2021 order, you apply for a modification for change of premises address on the FoSCoS portal and keep the same FSSAI number. Apply before you start operating from the new premises.
